Administrative Assistant

Department: Executive
Location: Bartlesville, OK

JOB SUMMARY

This position provides administrative support to the Executive area.

ESSENTIAL FUNCTIONS

  1. Greet and assist visitors to the Executive area.
  2. Coordinate the schedule of use of the credit union owned pool “rental” car and provide for its maintenance, titles and insurance coverage as needed.
  3. Perform word processing, spreadsheet and presentation/proposal creation.
  4. Act as administrator on the credit union electronic boardroom software.
  5. Assist with duties at the Board of Directors meeting on a monthly basis.
  6. Reconcile travel statements for designated corporate travel account(s).
  7. Serve as primary contact for collecting and maintaining the repository of credit union policies including coordinating annual updates for policies requiring board approval.
  8. Provide support for organizational Project Team process including Asana support as well as assistance to Team Leads and Project Team Liaison.
  9. Assist with the coordination of the Asset Liability Management Committee, the Allowance for Loan Loss and Leases Committee, including taking meeting minutes and assist with other ad-hoc meetings upon request
  10. Perform other duties and responsibilities as assigned.

  • Knowledge of:
      • Modern office equipment
      • Technology and various software including Microsoft Word, Excel, and PowerPoint
  • Ability to:
      • Read and interpret a variety of instructions furnished in written, oral, diagram, and schedule form
      • Organize and prioritize in order to meet deadlines
      • Solve practical problems and deal with variables in situations
      • Self-direct with the initiative and drive necessary to activate a project from conception through completion
  • Skill in:
      • Excellent communication and interpersonal skills to effectively work with members and co-employees
      • Typing and personal computer

QUALIFICATIONS

Any combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job required.

REQUIREMENTS

Regular attendance and timeliness are essential functions of this position. While performing this job, the employee is regularly required to sit or stand for a significant period of time and perform functions that require manual dexterity. The employee must occasionally reach above or below normal body position, stoop or bend, and carry, lift or move objects weighing up to 25 pounds. A normal range of hearing, vision, and speech are required to effectively work with co-employees and members.

Follows regulatory and policy compliance requirements, which include those efforts in compliance with Bank Secrecy Act (BSA), Office of Foreign Asset Control (OFAC) and Anti-Money Laundering (AML) Regulations, Identity Theft Red Flags and other compliance related Policies. This position also requires maintaining confidentiality with regard to non-public information about our members and the Credit Union.
